Special information on the processing of personal data via the online form

What this is about

When you use the following online form (hereinafter, the "Online Form") to communicate with us, we collect information about you (hereinafter, "Personal Data"). The purpose of this document is to fully inform you about the processing of Personal Data carried out through the Online Form.
With regard to cookies, the newsletter and processing of personal data not directly related to the use of the online form, we refer you to our general information on the processing of personal data, available here.

Who we are and how you can contact us

The Ticino Tourist Agency (hereinafter, the "Data Controller") determines the purpose and means of the processing of your Personal Data. Information on the processing of personal data in the online form

When you use the Online Form, we process the following Personal Data.

Personal data processed as mandatory: (i) IP address of the device used by the User; (ii) personal data requested by the Online Form (marked with an asterisk*) and entered by the User; (iii) services and products provided to the User;

Optionally processed personal data: personal data provided by the online form (without asterisk*);

Purposes pursued: (i) to allow the use of the Online Form; (ii) to identify the User; (iii) to verify the legitimacy of the User's request; (iv) to correspond with the User; (v) to follow up on the User's request; (vi) to store data relating to the transaction for contractual, commercial, tax, accounting and administrative purposes; (vii) to send newsletters to customers (for similar products and services) and non-customers (subject to consent to subscription to the mailing list);

Data processor: We have delegated the processing of Personal Data within the scope of making the online Form available to the following IT service provider: JOTFORM (https://www.jotform.com): JOTFORM makes available and manages the online Form, which the User fills in when submitting his/her request; JOTFORM collects the following personal data: IP address of the device used by the User; personal data entered by the User in the online Form. The processing of Personal Data within the context of sending the newsletter is delegated to the following IT service provider: SALESFORCE (https://www.salesforce.com), which provides a system for storing the User's data and corresponding with the User. SALESFORCE collects the following personal data: personal data entered by the User in the online form. 

Recipients: the recipients are JOTFORM and SALESFORCE (as Data Processors), limited to the data specified in the previous paragraph, and, in the event of logistical needs, RHENUS LOGISTICS, with which the personal data entered by the User in the online form for sending the printed material is shared.

Transfer abroad: Germany (appropriate state under the Swiss Data Protection Act), limited to data collected by JOTFORM (as data controller)

Period of retention: Personal Data are destroyed or made anonymous as soon as they are no longer necessary for the purpose(s) of processing; the following activities are reserved: (i) retention imposed by law (e.g. data relevant for commercial accounting, including accounting documents): retention for 10 years from the end of the relevant accounting period; (ii) retention in the overriding interest of the Data Controller as owner of the www.ticino.ch and/or contractual party of the User (defence against the violation of legal and contractual obligations; proof of the correct fulfilment of legal and contractual obligations): conservation within the limits of the statute of limitations established by law in relation to the right/obligation justifying conservation;
